Office and Accounting Assistant

We are currently looking for Candidates for our Client, a multinational and rapidly growing company in the multi-energy industry, for the position of:

 

Office and Accounting Assistant

Location: Warsaw (work from office in Śródmieście)


Responsibilities:

Administrative work:

  • Establishing new Vendors, Customers, and Business Partners for SAP – preparation of tickets,
  • Scanning and registering invoices to ISS, labelling of letters and invoices for SAP, and introducing them to SAP,
  • Registering letters and documents in/out in the Document Management System (supporting SAP)
  • Keeping all files with agreements updated, registering changes to the agreements,
  • Preparing documents for archiving for an external archive, 
  • Orders of stationer, 
  • Handling all in–out correspondence. 

 

Landowners’ administration in SAP and paper documents:

  • Keeping updates of the databases of all land lease agreement
  • Preparing documents for landowners in case of changes in cooperation with lawyers and notary
  • Keeping files of all land lease agreements
  • Mailings to the landowners
  • Preparing and monitoring changes necessary to be amended in the SAP module and preparing tickets with implemented changes.  
  • Meetings with landowners on site in case of a need to collect documents and renegotiate the land lease agreements.

 

Other:

  • Administrative support for the Head of Operations and the Financial Specialist in daily duties, 
  • Support in the preparation of summaries, reports, and presentations, 
  • Secretarial support, organization, and handling of meetings,
  • Organization of business trips,
  • Ensuring and coordinating the efficient flow of information and cooperation with other team members,
  • Preparing documents for the management board for translation.



Experience:

  • Must have computer skills (MS Office) with excellence in Excel,
  • Experience in the above-mentioned or related position is also an important issue. The candidate should have, among others: organizational and interpersonal skills, communication skills, high personal culture, ability to work independently under time pressure, as well as openness, creativity and responsibility,
  • Expected higher education (min. Bachelor Degree, BBA),
  • Language skills: English communicative with the possibility to understand accounting matters in English because the system SAP is established in English,
  • Driving license B could be an asset.
